HearthSeal policies
Privacy Policy
How HearthSeal handles account information, private home photos, collaboration records and privacy requests.
Draft for legal review. Not yet finalized or effective. Company details and applicable legal requirements must be confirmed before launch.
Scope and status
This draft describes HearthSeal's current information practices. The responsible legal entity, privacy contact and effective date must be confirmed before publication as a final policy. Specific jurisdictional notices and international-transfer terms require legal review.
Photo storage and retention (FOR LEGAL REVIEW)
Draft for counsel review, not final. Photos submitted with a Pre-check are kept privately with that submission and linked to your account once the same email is verified. You can see what HearthSeal has on file in My photos and rights, and hide outdated profile photos from future use. HearthSeal keeps original files for audit and safety records; businesses never see Pre-check or application photos.
Information you provide
HearthSeal handles account details, email, phone number and phone verification status, profile and property details, application answers, home and verification photos, optional review evidence and social profiles, and business verification details.
Collaborations generate offers, agreements, messages, uploaded deliverables, fulfillment addresses, tracking, appointments, ratings, Help cases and activity history. Purchases generate payment status, subscription and credit records, and promotion redemption history. Card details are handled by the payment provider through checkout.
Why information is used
Information is used to verify accounts and applications, make manual admission decisions, match homes to relevant campaigns, manage payments and memberships, fulfill accepted offers, support cases, preserve agreements and audit history, and detect misuse.
Optional social information supports campaigns that require social content or reach; participation does not require social media. Property type and size support product fit, not prestige or wealth judgments. Automated assessments inform review and do not independently grant admission.
Who can see your information
Before acceptance, businesses see masked profiles with relevant fit information and approved showcase media, not your full name, exact address, personal contact details, identifying exterior images or verification documents.
After acceptance, the business receives only the fulfillment information needed for the collaboration. Makeover project photos are private to the applicant and the business handling that application. Match content is accessible to authorized collaboration parties.
Authorized HearthSeal staff access information needed for review, support and administration. Internal staff notes are not business-visible. Case evidence is shared with a business only when explicitly selected for that case. Infrastructure, payment, authentication, messaging and AI service providers process relevant information to deliver these functions. A final policy must identify applicable providers and contractual safeguards.
Photos and AI assessment
Private home, application and verification media is accessed through authorized, short-lived secure links rather than public image listings. Approved showcase photos can be used in masked browsing as described above.
When an assessment is requested, submitted photos and relevant answers may be processed by an AI service to identify presentation strengths, campaign fit and authenticity concerns. Internal scores and flags are not applicant-facing grades. Do not upload unrelated sensitive documents or images of people without permission. This draft does not claim that external providers never retain data or use it for training; provider-specific terms must be verified before finalization.
Browser storage and operational records
HearthSeal uses browser storage for sign-in, tab-specific drafts, application handoff and remembering whether a marketplace guide has been completed or skipped. Guides can be replayed; clearing browser storage or using a different browser may show them again.
Operational and security records may be used to investigate errors and misuse. This draft makes no claim that advertising tracking or optional analytics consent has been implemented. Any additional tracking must be assessed and disclosed before use.
Retention and requests
Pre-check submissions are retained as separate historical records rather than overwritten on resubmission. Collaboration and audit records are retained to preserve commitments, support disputes and meet applicable obligations. No fixed retention schedule is established by this draft; a reviewed retention and deletion schedule is required before launch.
You may request access, correction or deletion of your information and raise privacy concerns through a Help request in your account. Available rights and exceptions depend on applicable law; identity verification may be needed. A public privacy contact is still required so people without an account can submit requests. Deletion may be limited where records must be retained by law or for unresolved obligations.
Security and policy updates
Access controls, private media and audit records help protect information, but no system can promise absolute security. Keep credentials private and report suspected misuse through Help.
Material changes to the final policy should be communicated appropriately. Children’s eligibility, applicable regional rights, transfer safeguards and breach-response procedures require confirmation before this draft is treated as final.
